Product guide
How to use the app
A practical guide to accounts, people, events and private media sharing.
Getting started
Organisations create an account for each person who needs access. New users sign in without a password using a secure, time-limited magic link sent to their email address.
- Open Sign in and enter the email address associated with your account.
- Open the magic link in your email on the same device where you want to use the app.
- If you need an account, use Sign up to send your organisation details to the team for approval.
Accounts and access
Access is controlled by your organisation. The app supports administrators, staff, parents and other related people, with each account seeing only the places, people, events and media it is allowed to see.
- Administrators manage organisation settings, places, staff and events.
- Staff manage the people, guardians and event content assigned to their place.
- Parent and person accounts view the updates and media shared with related people.
- Access can be updated or removed by an authorised administrator when circumstances change.
Places and people
Places represent schools, clubs, nurseries or other locations within an organisation. People are managed within a place and can be related to more than one account.
- Create or select a place from the places area.
- Add people individually or import a list of people.
- Edit records when details change, or archive them when they are no longer active.
- Create or reuse a guardian account and link it to the relevant person.
Events
Events keep updates for a trip, performance, tournament or other activity together. Start and end dates are optional, and each event belongs to a place.
- Create, edit and archive events when you have permission.
- Make an event visible to the whole school or keep it private.
- Assign people to private events so their related accounts can follow them.
- Manage multiple event participants at once from the event people page.
Posts, photos and videos
Add a text update, media, or both to an event. Posts are shown in chronological order to the accounts that have access.
- Open an event and choose Add media.
- Write an optional update and select one or more files.
- Upload supported image or video files that can be viewed in a browser.
- Open a thumbnail to view an image or use the native video controls to play a video.
- Videos do not autoplay.
- Staff and administrators can delete media from an event when they have permission.
- Media is available only after the viewer passes the app's access checks.
The home timeline
The home page brings together event updates and media shared with the people connected to your account. It is a private view rather than a public social feed.
- Related media appears in chronological posts.
- Public events may be visible to everyone in the relevant school or organisation.
- Private event content is limited to assigned people and their authorised accounts.
Privacy and security
The service is designed for sensitive community and school content. Uploaded media is encrypted before it is stored, and authorisation is checked before media is served.
- Use a private device and never share a magic link.
- Review membership, event visibility and uploaded content regularly.
- Report suspicious activity or a possible vulnerability to the organisation that manages your account.
- Read the privacy, security and terms pages for the full policies.
